Track Records allows service providers to quickly enter billing information for all provided services. Invoices for services can be quickly generated and are ready to send to the funding source, whether the client is self-pay or funded by another organization. The billing system also allows your organization's leadership to view the extent to which funds must be raised for overhead, scholarships, etc.
- Service providers can invoice for every service that is documented.
- Once the service notes are entered (daily notes) the screen refreshes to a screen where billing information for the service provided can be entered.
- Line items and units can be accounted for and then released to the billing department.
- Billable information can be entered without being released to billing department (accounting) if there are questions about billing information.
- Billing department then pulls a report of all billing that has been released to accounting, and is therefore billable for the month.
- Reports can be compiled with billing information only, or with supporting information entered into the case notes for the services provided.
Billing Information for One Client Only
Within Track Records, funding source is tied to the program and the individual, which allows clients to receive several different programs, even if the funding sources for those programs are not the same. And when the activity logs for each program are entered, each program's funding source will automatically be entered! Billing Information Report
Before bills are generated by Track Records, accounting staff members and managers can monitor the billing information that has been entered into the system by the direct service staff members. Monitoring this information throughout the month allows staff members to catch billing errors sooner and reduces the length of time it takes accounting to produce bills at the end of the billing cycle. Maintaining Billing Information
Maintaining accurate billing information is vital to non-profit agencies, so Track Records provides the tools necessary to make sure all services that are documented are billed. Unbilled logs are logs that have been entered into Track Records, documenting service that was provided to a client, but do not contain any billing line items. These logs need to be addressed and corrected before the accounting department can accurately generate bills for funding sources. Click the link above to see a sample Unbilled Logs Report.
