Direct Support (DS) Payroll and Admin Reporting
Track Records DS gives managers and administrators immediate access to administrative reports. Compiling reports will no longer spend hours! Other features available within reports allow case managers to monitor allowed billable hours (according to cost plans, etc.) and plan out the expected number of service hours for each day of every month. Track Records DS also allows you to review all timecards for payroll and billing purposes before any information is finalized. If a timecard is entered incorrectly, it can be changed easily by a user with the proper permissions.
The Reports Area provides case managers with a simple tool that allows them to monitor all billable and expected services for all clients. It also allows users with proper permissions set to enter and modify all timecard and absence information quickly and easily.
Track Records reporting functionality allows your organization to:
- Manage all timecard information in a user-friendly interface
- Graphically display shifts worked daily
- Enter and maintain billable hours for all client services
- Compare billable hours to scheduled hours to ensure that all hours scheduled can be billed
Individual Timepunch Report
Timecard information can be added or edited from this report, as long as the user has permission within the system to edit timepunches.
Calendar Report in an Easy-to-View Format
Timepunch information associated with provided services are displayed in user-friendly formats. This timepunch information can be viewed graphically, which provides a visual display of client coverage as well.
ADMINISTRATIVE REPORTS
Administrative Reports display information concerning billable hours (according to the client's cost plan) and how those billable hours relate to expected service hours, actual scheduled hours, and actual worked hours. The following ten reports and summaries are available to view by selecting the screen shot (shown left):
- Client Risk Report and Risk Type Summary which shows summaries of statistics of client risks used in risk assessments.
- Risk Issue Summary which reveals the different risk issues within each risk type, the number of affected clients and percentages.
- Risk Issue Analysis will show any comments and strategies entered about a risk issue for the client.
- Run Risk Review report will show clients with risks, the first and last date a risk was entered into the client’s record, and the people who entered those risks.
- Compare Process History will show a comparison between billable hours from cost plans, expected service time, actual scheduled time and actual worked time.
- Compare Scheduled/ Worked History shows a comparison between hours scheduled and hours worked within a selected date range for staff-based services only.
- Compare Expected Service Hours report allows you to compare the number of hours expected, scheduled, and worked for a specific service during a given time frame.
- Last Dates report displays the last date billable, expected service, scheduled, and worked hours was entered by a user. Dates are color-coded to indicate expiration.
- Billable Hours Expiration reportshows the client’s assigned services, how the client is staffed, and the date that billable hours expire within a selected date range.
- Worked Weekday Averages report shows the number of hours worked on each day of the week per service. An average for each day, within a selected date range, is given at the bottom of the report.
